Getting started
- Open your invitation email and choose a password, then log in.
- Open Settings, then Profile, to set your name, time zone and date format.
- Add your first project from the Calendar with the plus on any day, or use New project.
- Use New from template for launches and webinars.
The tabs run across the top: Calendar, Board, Repository, IdeaLine, Dashboard and Activity. You can reorder them in Settings, Display.
Using the calendar
Choose Concise (one line for each project), Default or Extended with the size menu. Drag a project to a new day, or use its edit form. IdeaLine ideas appear with a golden glow and a small bulb so they stand apart from regular projects.
Download a calendar view: press Download on the calendar, choose PDF, PNG or JPG, then paper size and orientation for PDFs. The file shows the month or week you are viewing, with the year.
The IdeaLine
Ideas move along a line from Spark to Project. Each plan allows a number of active ideas (3 on Starter, 10 on Team, 25 on Studio). When an idea is ready, move it to Project and it lands on the calendar.
People, roles and permissions
In Settings, People, choose Add a person and fill in Name, Email, Role, Permission level and View. They receive an invitation email. Remove anyone with the red trash button.
- Roles: Admin, Editor, Contributor, Member, Visitor. Rename them or adjust permissions in Settings, Roles and permissions.
- Permission level: Full, Standard (no deleting, sharing, exporting or managing people) or View only.
- View: limits which sections a person sees, such as Calendar only.
Notifications when you are tagged
When someone @mentions or assigns you, a pop-up appears right away and the bell rings. In Settings, Notifications you can switch pop-ups off, allow desktop notifications, pause alerts for an hour or until morning, and send yourself a test.
If alerts seem late, check that your connection is online. The app also checks for new activity every minute as a backup.
Downloading your data and backups
In Settings, Data and backup, download everything as a migration pack (ZIP of CSV files plus a JSON backup and README), an Excel workbook, or a JSON backup. The full activity log can be filtered and exported on its own. Admins can schedule backup emails to people on the team.
History is kept for 6 months on Starter, 12 months on Team and forever on Studio. Download before older entries age out if you need a longer record.
Deleting safely
Every delete asks first. The dialog has a checkbox to skip it next time; turn the question back on in Settings, Display. Removing a person or deleting your account always asks.
Deleting your account
Open Settings, then Plan and account, then Delete my account. Download your data first if you want a copy. Owners can hand the workspace to someone else or delete it with everyone’s data. Type DELETE to confirm.
Keyboard and accessibility
Everything works with a keyboard. Use Alt with the left or right arrow to move board cards or tabs, and the Move up and Move down buttons in Settings to reorder lists. Read our accessibility statement.
Accessibility, privacy and security documents
Everything an auditor, procurement team or client usually asks for is in the Trust center: the Accessibility Conformance Report, Data Processing Addendum, Payment Terms, subprocessor list, backup summary and vendor service commitments. Each legal document can be downloaded as PDF, Word or plain text.
Troubleshooting
- Cannot sign in: use the link in your invitation, or Forgot password on the login page. Access is by invitation only.
- No invitation email: check spam, then ask your admin to confirm your address.
- A feature is locked: it belongs to a higher plan. Settings, Plan and account shows what your plan includes.
- Still stuck: write to hello@idealine.io with a short description and what you expected.
