Subscribe to IdeaLine from Google, Outlook or Apple Calendar
Create a private calendar link that your own calendar app keeps up to date.
A calendar link is a private web address your calendar app checks on its own schedule. It is one-way: your calendar can read IdeaLine, but it can never change it. Projects with a due date appear. Content, Social media and Email items without a publish time are marked “[Needs scheduling]”.
Create a link#
- Open Settings and choose Calendar & integrations
- Under Calendar links, type a Name
For example “My IdeaLine calendar”.
- Choose Which items
Items assigned to me, or Everything in the workspace if your role allows it.
- Choose an Expiry
Expires in 30 days, 90 days or 1 year, or Never expires.
- Tick options if you want them
Titles and dates only hides type, status and link. Hide items that are done keeps the calendar tidy.
- Choose Create calendar link
A window shows the private link one time.
- Copy the link, or choose Open in Apple Calendar / Outlook
This is the only time the full link is shown. Anyone who has it can read that calendar until you revoke it, so treat it like a password. Do not post it in a shared channel.
Add it to your calendar app#
- Google Calendar: Other calendars (+), then From URL, then paste the link. Google refreshes subscribed calendars every several hours.
- Outlook: Add calendar, then Subscribe from web, then paste the link.
- Apple Calendar: File, then New Calendar Subscription, then paste the link. Or use the button in the window.
Review or revoke links#
The same section lists your links with their scope, expiry and when they were last used. Choose Revoke next to a link to stop it right away. Any calendar subscribed to it stops updating.
Calendar links work in the live app once the workspace database is connected. Viewers cannot create them. Anyone can still use Add to Calendar on a single project. See Add a project to your own calendar app.
