Download everything: your data backup

Get a complete copy of your workspace as a ZIP, Excel workbook or JSON file.

1 min read

Your data belongs to you. IdeaLine keeps everything your team creates, and you can take all of it with you at any time. Use a download for a migration, an audit, a report or a personal backup.

The Data & backup panel.

Zoom in on each part

  1. Download ZIP button (Excel and JSON are next to it)
  2. How long we keep your history section
  3. Full activity log section
  1. Open Settings, then Data & backup

The tiles at the top count what is in your workspace.

  2. Choose a format under Download everything

    See the table below.

  3. Save the file somewhere safe

It downloads to your browser’s Downloads folder.

FormatWhat it isBest for
Migration pack (ZIP)One CSV per type, plus a JSON backup and a README.Moving to another platform.
Excel workbookEvery type on its own sheet.Audits and reports.
Backup file (JSON)A single file that restores into IdeaLine with Import.Your own backup. See Restore or merge from a backup file.

Each includes every project, subtask, comment, approval, idea, file link, contact, template, person and the activity log your plan keeps. Once you have downloaded, the panel notes the date.

Be careful

A downloaded file contains your team’s work. Store it where only the right people can open it, and delete old copies you no longer need.

Good to know

IdeaLine also keeps its own system backups so the service can be restored after a failure. Those are for IdeaLine to recover the service and are not something you download. Your own copy comes from this page. See How long your history and data are kept and the Data policy.
