Fix client review and shared link problems
Step-by-step fixes when a client cannot respond, a link fails or an email does not arrive.
The client cannot see the approve form#
- Open the project and look at Sharing
Find the link. It should say clients can respond.
- If it says read-only, revoke it and create a new one with the response box ticked
The setting cannot be changed on an existing link.
- Send the new link
The link says it expired or was revoked#
Links stop working on their expiry date or when someone revokes them. Create a new link from the project and send that one. Old approvals stay on the project.
The client cannot approve#
To approve they must enter their name, a real email address and tick the box confirming they can approve. Comments and “needs attention” only need a name. If the button stays grey, one of those is missing.
The link opens a blank or “not found” page#
- Check the whole address was copied, including the part after the # sign
Some chat apps cut it off. Paste it into a note to check.
- Try the standard link
If you used a branded link name, create the link again with Use a branded link name cleared.
- Ask the client to open it in a normal browser window
Private windows and some in-app browsers block the page storage needed.
I did not get the approval email#
- Check spam or junk and search for “IdeaLine”
- Ask an owner or admin if they received it
Owners and admins, the person who shared the link and the project assignee are always emailed on approval.
- Open the project, Client review
The response is always listed there, even if an email is delayed.
I do not get task-completed emails#
They are opt-in. Tick the box under Settings, Notifications. You are not emailed about tasks you complete yourself. See Get an email when a task is completed.
A file will not open for the client#
Only secure https links are shown. The file’s own sharing decides who may open it, so share it with “anyone with the link” or the client’s account in your storage service. See Add Repository content to a client review.
My logo or colors do not show on the portal#
Branding is Studio and above and must be switched on under Settings, Client portal. The logo comes from Settings, Workspace. If a color does not have enough contrast for readable text, clients see the IdeaLine blue buttons instead. Try a darker or lighter shade.
Still stuck? Send the project name and what the client saw to support from the Help page. Never send the private link itself.
