Let a client approve, flag items or comment
Collect a dated approval from a client on a shared link, without a review call.
When you create a share link you can let the person respond. They can approve the project, mark items that need attention, or leave a comment. They need no account, and your team is told as soon as they respond.
Turn it on for a link#
- Open the project and choose Copy link to project
Save your latest edits first. The link shows the last saved version.
- Keep Let the person approve, mark items that need attention, and comment ticked
Clear it for a view-only link.
- Create the link, then choose Email the link
Pick from the clients and collaborators tagged on the project who have an email saved. The link goes only to them.
What the client does#
They choose Approve, Something needs attention or Just leave a comment, add their name and a note, and can flag the description or any subtask. To approve they also give an email address and tick a box confirming they are authorized to approve. They get a receipt with a reference and can download it.
What you see#
Open the project and scroll to Client review. It shows where the project stands with the client, every response with the time it arrived, and a note when the project changed after an approval. Use Mark addressed when you have dealt with a request, Reply by email to answer, and Approval record to open the saved record.
About approval records#
Each approval keeps the client’s name and email, the exact time in UTC, the wording they agreed to, and a copy of the project as they saw it with a fingerprint (SHA-256). It cannot be edited. Choose Verify fingerprint to check it, or download it as a web page or data file for your files. Add your own wording under Settings, Client portal, Approval terms.
An approval record is evidence of who agreed to what and when. It is not legal advice. If you need it to stand in a contract, ask your own counsel about the wording.
Brand the client portal#
Shared links open as a small client portal. On Team and below it shows the IdeaLine look with the line “Powered by IdeaLine - Calm project management for creative teams.” On Studio and above, go to Settings, Client portal, switch on Use my brand on the client portal, and choose your colors and tagline. The portal uses the logo from Settings, Workspace. Text on your main color is chosen automatically so it stays readable.
Keep the timeline in your hands#
Under Settings, Client portal you can pick a status to suggest when a client approves, and another when they ask for changes. IdeaLine only offers a Move to button on the project. It never changes a status by itself.
Anyone in your workspace can read responses. Only people who can share links can see a reviewer’s email, and only owners and admins can delete an approval. See Roles and permissions reference.
