How live media handles your data
What IdeaLine stores, what it asks each source for, and how previews are kept safe.

What IdeaLine stores#
- The link, the title, your category, tags and notes, and the name of the source.
- A preview image address and duration that the source reports, or for Adobe Express a small preview image under 200 KB.
- Pins: the note, the spot or moment, the device size and page address, the linked task, who made it and when, and whether it is addressed.
- For client pins, the name the client typed. IdeaLine does not ask clients for an email address to pin.
The design, video or page itself is never copied into IdeaLine. It loads from the place it lives each time someone opens the preview.
What IdeaLine asks each source for#
- Figma, Loom, Vimeo and Canva: when you save a link, IdeaLine asks the source’s public lookup service for the title and preview image of that link only.
- Canva account (optional): design titles, preview images and links, with read-only permission. Your sign-in is stored encrypted, belongs to you alone, and is removed when you disconnect.
- Adobe Express (optional): the editor runs in your browser under your own Adobe account. IdeaLine receives only the preview image you save.
- Staging sites: IdeaLine checks that the address is public before it shows it.
How staging pages are kept safe#
- Pages are opened in a locked frame. A page cannot read your IdeaLine sign-in, storage or data, or control the app around it.
- Each preview uses a signed pass that expires (6 hours for your team, 2 hours for clients) and works for that one site only.
- Only public web addresses can be previewed. Private and internal network addresses are refused.
- Only the page itself passes through IdeaLine. Its images, styles and forms go straight to your site, so IdeaLine never sees what anyone types into it.
- Pages behind a password or sign-in are shown from the live site in the visitor’s own browser, so their sign-in never passes through IdeaLine.
Clients and sharing#
- Clients see only files you mark Client can see on their link, and only while the link is active.
- Your team’s pins stay private unless you choose to show one.
- Vimeo plays with do-not-track on, and no video player or design loads until someone asks for it.
- The owner of the work stays in control: if they change its sharing settings in Figma, Canva, Loom or Vimeo, the preview follows.
