Emails about tags, status changes, @mentions and due dates
Which project emails you get, when they arrive and how to turn them off.
IdeaLine emails you about the projects you are on, so nothing waits for you to sign in. You are never emailed about a change you made yourself.
When you are tagged#
You get an email when a teammate adds you as a Team collaborator or makes you the project’s assignee. If you are tagged on several projects at once, they arrive together in one email.
When the status changes#
You get an email when the status of a project you are on changes, such as To do to In review. You are on a project when you are its assignee, its creator or a team collaborator. If a status changes several times in a few minutes, you get one email that shows where it started and where it ended.
@mentions in comments#
Every 4 hours, if someone @mentioned you in a project comment, you get one email that lists who mentioned you, grouped by project. It never includes the comment itself, so open the project to read it. If nothing new happened, nothing is sent.
Due dates#
Project due-date emails go to the assignee and the team collaborators. The workspace owner or an admin chooses how far ahead they arrive under Settings, Workspace, Due-date email alerts: 1 week, 5 days, 3 days (the default) and 24 hours. A project with no due time counts as due at 9:00 AM Central Time.
A subtask that has a due date and an assignee also emails its assignee 24 hours before it is due. This is separate from the project’s alert, and its timing cannot be changed.
Turn these off#
- Open Settings, then Notifications
- Find Project emails
Untick tagged on a project, status of a project I am on changes or the @mentions digest.
- Turn off project due-date emails
Untick Due-date reminders under What to tell me about. The 24-hour email for a task assigned to you stays on.

Clients and partners you tag on a project are contacts without accounts. They are never emailed.
